Introduction


Within the DEMS product, external sharing of evidence is facilitated through the Limited sharing feature, enabling users to share evidence externally with external users. This enables external users (users who are not part of your VIDIZMO Portal) to view Evidence that is shared with them. In addition, external users can register as Public Viewers so that they can get viewing access to Evidence that's shared with them. In addition to sharing, Limited Share also consists of options to set viewing limitations on the Evidence being shared. 


Accessing Shared Evidence

  1. For the process to begin, a Moderator+ user needs to select the Evidence they want to share with you and perform the Limited Share. The Limited Share modal gives them the option to share externally via a link or email. If you want to read about the process, you can defer to the information provided here: Content Sharing Options. 
  2. After the Evidence is sent to you via Limited Share, VIDIZMO will send you two emails to your inbox. 
  3. One email contains a registration link for the VIDIZMO Portal, where the shared Evidence is hosted, and the second email provides a direct link to access the shared Evidence. Open the email containing the registration link for the VIDIZMO Portal. To initiate the registration process, select "Click here to complete your registration."  
External users can't view the shared Evidence directly; they need to register as Public Viewers in the VIDIZMO Portal to do so. The link in the email ensures that you, as an external user, have a convenient way to register as a Public Viewer. 

Note: Public Viewers in VIDIZMO are also referred to as Anonymous users. They are not authenticated and only have restricted access to public content shared with them. Learn more here about VIDIZMO User Roles. 



 

4. After clicking the link, you will be redirected to the Registration Page for the Portal. To complete the registration, you need to do the following: 

            a. Enter your First Name.  

            b. Enter your Last Name.  

            c. Enter a strong password that complies with the requirements.  

            d. Re-enter the Password again for confirmation.  

            e. Click the Register button to complete the registration.

5. The VIDIZMO Portal then informs you that your registration is complete. To proceed, click the highlighted text to go to the Portal's Login page. 


 

6. On the login page, enter the credentials that you registered with and click the "Sign In" button. 



7. Once you log in as a Public Viewer, you will be presented with the "Shared with me" page, where you can see all the Evidence shared with you. 


8. To view any Evidence shared with you, simply click its thumbnail. 



9. Here is how the shared Evidence is displayed to you. 



10. The second email sent by VIDIZMO to your inbox contains the direct link to the Evidence. This is to ensure that you have a way of accessing the shared Evidence once your registration as a Public Viewer is complete. To view the Evidence, click the link (identified by the Evidence name) provided in the email.
