Introduction

VIDIZMO prioritizes safeguarding sensitive data and provides a robust Document Keyword/Pattern redaction feature to manage content across various media formats effectively. This functionality allows users to redact important information within all document types, ensuring efficient handling of sensitive data. 

Our advanced redaction feature has been meticulously trained to cater to diverse business requirements, delivering exceptional performance across various data types. Additionally, VIDIZMO offers the flexibility to conduct redaction based on keyword or pattern matching, utilizing text-based searches or regular expressions for precise and tailored redaction needs. 

Prerequisites

To utilize the full capabilities of document redaction in VIDIZMO, you need to meet the following requirements.    

  • Ensure that you have the Redaction feature as part of your package.    
  • Have a Manager+ user role. 

Document Redaction

To illustrate the process, we will redact a Word document in the DEMS's Evidence Library.

  1. Navigate to the Library section.
  2. Locate and select the desired Document for redeaction.
  3. Choose the "Redact" Icon from the header menu or the option in the overflow menu on the document's thumbnail.


      4. Your selected document will open inside the studio space.



 5. Use "Text Selection" to highlight information using the cursor or opt for "Bounding Box" from the menu for area selections.



 6. Select the checkbox for the Text you want to redact.

 7. Initiate the redaction process by clicking Redact and Publish.

 


8. A redacted copy of the file will be generated, tagged as "Redacted," with the selected information appropriately redacted in the Library.



Using Search for Selections

You can also use the search function to identify the information that needs to be redacted. It utilizes “Keywords” and “Patterns" to target and display specific information within the document.  

 

To conduct a search based on keywords:

  1. Select the Document option from the overflow menu.


  2. Select “Keyword” from the overflow menu to search for specific keywords within your document.

  3. The search results will display all instances of the specified keywords, and these keywords will be visibly highlighted in the document upon selection.



Note: Custom Pattern Search: Access the portal settings and employ the 'Custom Pattern' feature to create custom patterns. These custom patterns serve as search criteria during document redaction.


 4. In the studio space, search using custom patterns. Choose "Pattern" from the drop-down menu.



5. From the "Select Pattern" menu, pick a custom pattern to retrieve specific information.



 6. For instance, selecting the "Email" custom pattern will display all emails present in the documents.


 

 7. You can also create additional Custom Patterns using the “Add New” option in the drop-down menu.  



Document Redaction Using OCR

You can also search Keywords or Patterns on your document using OCR. It enables the detection of textual information present in images. You can also use OCR to do detection in multiple languages. You can find a list of supported languages here: Understanding VIDIZMO OCR.

 

To use OCR for searching, make sure the VIDIZMO Indexer App is enabled and configured to do OCR detection on documents. To learn how to do that, visit How to Configure VIDIZMO Indexer for Object Detection.

  

To initiate OCR for the open document within your studio space, follow these steps:

  1. Click on the "OCR" button in the studio space's header.


     

 2. Press "Apply" to confirm your selection and proceed with the OCR workflows.


  

3. Navigate to the left side pane and select "OCR" from the overflow menu.

4. In the "Search" field, input a "Keyword" or "Pattern" to pinpoint specific text within the document or image.

5. The OCR functionality will then detect and extract the designated keywords and patterns from the document or image.

6. Select the checkbox for the Text you want to redact.

7. Initiate the redaction process by clicking Redact and Publish.



On-Demand Document Redaction

On-demand Redaction offers a convenient way to redact information from a document. You can redact information using Keywords and Patterns directly from the library. 

 

  1. Select a document the desired document.
  2.  Click the “Redact” icon in the Top navigation.


3. The Selected Evidence contains the name of the document.

4. Type the “Keywords” you want to redact.

5. Add Custom Patterns you want to use for redaction.

6. The “Add Custom Patterns” will redirect you to the “Custom Pattern” page in “Portal Settings” to add or edit patterns. The redirection will clear all selections on the Process Modal.
7. Click “Redact and Publish” to start the redaction process.

8. The redacted version of the document will be stored in the library.


To redact keywords for multiple documents at once, simply follow the process mentioned above.
