Overview

VIDIZMO allows bulk import of users, replacing the tedious process of adding users one at a time. Through this feature, any Manager+ user can import users in bulk and make them part of any desired group. A CSV file will transfer all the metadata regarding the users.


A downloadable template containing all the mandatory and optional columns will be available to edit, and then the user can upload. This substantial feature saves precious time and makes the work process less complicated and contented.

Prerequisites

Only users with a Manager+ role can perform a bulk import of users in both EVCM and DEMS. 


Import Users In Bulk Using CSV


Accessing Users & Groups Page

1. From the Portal's Homepage, click on the navigation menu on the top left of your screen.  

2. Expand the Admin tab.

3. Click on Users & Groups to be directed to the Users & Group page.



In the Groups segment located on the left-hand side of the Users & Groups page: 

4. Opt for a specific Group Name to which you intend to add users. 

5. On the right side, navigate to the Add Users option



Uploading the CSV File 

1. From the Add Users dropdown menu, choose the using CSV File option. 



2. A popup modal titled Import users from CSV will appear, featuring the following components: 

  • Access a conveniently formatted CSV template instantly downloadable through the provided secondary link.
  • Utilize the "Choose File" option for CSV upload, with mandatory fields encompassing First Name, Last Name, and Email; optional fields include Passwords, Roles, and Groups, as detailed in the guidelines.
  • If desired, facilitate notification email dispatch by selecting the "Send Email Forcefully" checkbox.
  • Finalize the process by clicking the "Upload" button.



  • A notification will confirm the successful upload of the CSV File.  



Note: The CSV file should be in the UTF-8 format. The template provided by Vidizmo contains pre-defined field names, and you must add the user data in rows beneath the column names. It is crucial to note that the CSV file that Vidizmo accepts is field-sensitive, and you cannot change the order of the fields. Any alteration to the field names or their order will result in an error during file upload. Therefore, the order of the fields must be strictly adhered to.   


Checking the progress of the CSV File 

To check the progress of your CSV import in VIDIZMO

1. Expand the Admin tab from the Navigation menu 

2. Choose Control Panel from the options 



3. Subsequently, navigate to the Control Panel and select Workflows to check the progress of your file being uploaded. For further insights into workflows, read Understanding Workflows



4. While on the Workflow page, within the section labeled Workflows Queues: 

  1. Locate the Percentage column, which displays the progress of the imports.  
  2. Once the import process concludes, you can assess the State of your import, which will fall under one of the following categories: Failed / Finished / Finished with an error. In our specific case, the bulk-import file was successfully processed, thus indicating it's Finished. 
  3. If the State indicates Failed or Finished with an error, and you seek to understand the underlying reason, you can select Details from the Action column. This action will direct you to the Workflow details section. 
  4. Click on Details within the Action column. The CSV outcome will be generated, revealing the result of every individual import action. 



Note: Alternatively, you can directly click on the Workflows icon situated in the upper right corner, adjacent to your Profile. It will display a comprehensive list of Workflows. 




Guidelines For CSV of Bulk Import  

CSV File Structure 

The CSV file structure for user and group import in VIDIZMO is designed to be efficient. The maximum allowable file size for uploading is 50MB, providing ample capacity to handle substantial amounts of data. 



The CSV file contains the following fields: 

  1. First Name and Last Name (mandatory): Each user's entry must have a First Name and Last Name specified; otherwise, the system will skip that user during the import process. The First Name and Last Name fields accept various formats. 
  2. Email (mandatory): A valid email address must be provided for each user's entry. Users without an email will be skipped during import. 
  3. Password (optional): The Password field is optional for most users. However, for Manager+ users who uncheck the notifications checkbox, making the Password field mandatory, the system will skip users without passwords during the import process. 
  4. Role (optional): The Role field allows Manager+ users to assign specific roles to individual users. If no role is specified, the default role assigned will be Viewer. 
  5. Group (optional): The Group field is optional, providing flexibility in assigning users to specific groups. Users can be a part of one or multiple groups by specifying the group name in the CSV. If a group mentioned in the CSV does not exist, the system will create it. All User groups include every user in VIDIZMO by default. 
  6. Auto Confirm Email: To enable automatic email confirmation for a user, set the value in the "Auto Email Confirm" column to 1. This signifies that the user will be exempt from receiving a confirmation email and can log in directly to the portal without the need for email verification. Conversely, if the value is set to 0, a confirmation email will be dispatched to the user, containing a confirmation link. The user must confirm this link before gaining access to the portal.


The Bulk import feature by VIDIZMO marks a significant stride towards enhancing user experience and streamlining administrative tasks. By allowing Manager+ users to effortlessly import both individual users and groups through a CSV file, this feature not only liberates valuable time but also fosters a more organized and efficient workflow.
