Media Viewing Access is governed primarily by your Channel Membership type, which makes it easy for Administrators to determine these access permissions at Channel level so that they do not have to worry about security and privacy of their content once it is set. However, there may be occasions when Administrators would prefer to define unique Media Viewing Access permissions for each media in their channel library. To enable this, a channel should have Custom Membership Type and Viewing Access set to Decide when Publishing. In addition, if the intent is to allow viewing access to users outside your organization (customers, partners or general public users) then Allow Sharing with External Viewers option must be checked as well.


Using these settings, Administrators can share media with specific Viewers and Groups in an Account/Channel so that only selected Viewers and groups will have viewing access to the media. Once specified, the Viewers receive an email message containing the link to playback the media.


Administrators can also share media with External Viewers who are not registered in any Account/Channel with their email addresses. The External Viewers  also receive an email message however they will be required to Complete Registration process to proceed. 


Here is how you can share media with specific viewers/groups:


Steps 


1. At the Account/Channel Homepage, go to Admin >> Media Management.



2. At Media Management page:


i. Select any media that you wish to share.


ii. Click on Settings.



For Specific Viewers/Groups


1. At Media Settings page:


i. Select the Access tab.


ii. Select the Specific Viewers/Groups checkbox. This option enables users to share desired media with specific Viewers and Groups.


iii. Enter the name of the viewer or group with whom you wish to share the media and select from the drop down list.



2. The Specific Viewers/Groups is successfully added. Click on Save and Close to proceed.



3. The Viewer will receive an email message containing the link to the media file. As the Viewer is registered in an Account/Channel, the link will redirect to media playback page.



For External Viewers


1. At Media Settings page:


i. Select Access tab.


ii. Select Specific Viewers / Groups checkbox. This option enables users to share desired media with External Viewers.


iii. Enter the email address of the External Viewer with whom you wish to share the media and select from the drop down list.



2. The External Viewer is successfully added to the list. Click on Save and Close to proceed.



3. The External Viewer will receive an email message containing the link to the media file. As the Viewer is not registered to an Account/Channel, the link will redirect to the Complete Registration page after which the playback page is accessible.


Note: Completing the registration process registers the External Viewer in VIDIZMO as a Public user, however it does not register them in your Account/Channel. This ensures that External Viewers   are only able to view media that they have been explicitly given access permissions to using the login credentials they choose during the registration process, without giving them access to other published media in your library accessible to your internal authenticated viewers.



In case Allow Sharing with External Viewers is not checked under Channel Settings > Membership Type, Administrators will not be allowed to share media with External Viewers and the following message will display if an External Viewer is specified.
